This document details our terms of service for marquee packages, furniture hire, and ground protection solutions across the Bournemouth, Christchurch, and Poole (BCP) area and wider Dorset. 💳 1. Booking Deposits & Mandatory Event Insurance

​

All booking deposits paid to GM Marquee Hire for temporary structures, commercial party tents, or event furniture are strictly non-refundable under all circumstances.

​

• Asset Allocation: Booking deposits are taken as an absolute, firm mutual commitment to lock in your date. Upon payment, all requested equipment is allocated exclusively to your booking, meaning our Poole depot turns away all other potential clients across the South Coast for those exact dates.

• Weather-Related Non-Fulfillment: If GM Marquee Hire is unable to install or proceed with the event due to severe, adverse, or unsafe forecasted weather windows (such as high wind speeds or structural risk), the deposit will not be refunded.

• Mandatory Hirer Coverage: Because deposits and contract balances are completely non-refundable even in the event of severe weather cancellations, the Hirer is strictly required to take out comprehensive Event Insurance. Your insurance policy must cover extreme weather disruption, event cancellation, and supplier non-fulfillment to protect your financial investment. We strongly advise that you only confirm a marquee booking if your garden party, wedding, or corporate event is 100% going ahead and your insurance is active.

🌤️ 2. Weather Conditions & Structural Liability

​

The Hirer agrees that GM Marquee Hire is not responsible or legally liable for any interruptions, disruptions, or reduced usability of the marquee setup caused by adverse British weather conditions.

​

• Installation Safety Standards: We will always ensure structures are safely anchored, weighted, and installed to withstand forecasted weather conditions over your specific rental period in Dorset.

• All-Weather Performance: If extreme wind, rain, or storms cause minor canvas leaks, unexpected cold temperatures, or extreme heat inside the marquee that renders it unusable, GM Marquee Hire is unable to provide any form of refund or discount.

• Pop-up Gazebos: If hiring a lightweight pop-up gazebo or commercial party tent, the Hirer acknowledges they have been fully instructed on how and when to safely lower or dismantle the framework should local wind speeds exceed safe operational limits.

• Long-Term Wind Management Plans: If a structural "Wind Plan" has been implemented for your rental (typically for long-term commercial hires lasting longer than 2 weeks), the Hirer assumes full responsibility for executing all steps included in that plan. Any subsequent damage to property or injury to persons resulting from a failure to follow the Wind Plan rests solely with the Hirer.

🔨 3. Damage, Loss, or Theft of Marquee & Event Rental Equipment

​

The Hirer assumes full responsibility for the care, on-site security, and safeguarding of all rental equipment from the moment installation is complete until final collection by our Poole delivery team.

• Damage Assessment: If equipment is damaged, whether accidentally, maliciously, or due to improper handling/misuse by guests or third-party contractors, the cost of repair or replacement is the sole responsibility of the Hirer. Charges will be billed based on a "like-for-like" commercial replacement quotation provided by GM Marquee Hire.

• Pre-Sign Site Inspection: We strongly advise the Hirer to visually inspect all event furniture, lighting, and marquee panels for pre-existing wear before signing this agreement and to take photos for their records. Damage conclusively proven to be caused solely by normal ambient weather wear will not be charged.

• Loss & Theft: If any hired items, tables, banqueting chairs, giant garden games, lighting rigs, or structural elements are lost, misplaced, or stolen during the rental period, the Hirer agrees to cover the full replacement cost.

🏡 4. Damage to Property & Third-Party Risks

​

• Internal Contents Liability: GM Marquee Hire accepts zero liability for the damage, loss, or theft of any third-party personal property left inside the marquee structure. All items placed within the clearspan framework are kept there entirely at the owner's risk.

• Surrounding Garden Property: The Hirer agrees that GM Marquee Hire is not responsible for any damage caused to surrounding residential or commercial property (including lawns, flowerbeds, patios, fences, or brickwork) during the duration of the rental period outside of negligent installation behavior by our team.

📐 5. Marquee Alterations & Structural Integrity

​

All Röder and Höcker clearspan structures are engineered and anchored in the safest possible configuration. The Hirer is strictly prohibited from altering, adjusting, moving, or tampering with any part of the marquee aluminium framework, PVC covers, base weights, or securing straps unless GM Marquee Hire has provided explicit, written instructions to do so. Unauthorized alterations present severe structural safety issues; if an alteration occurs, the Hirer bears 100% of the legal and financial responsibility.

⚠️ 6. Slips, Trips, and Falls (Site Safety Handover)

​

Upon completion of the structural marquee installation, a representative from GM Marquee Hire will walk the site with the Hirer to point out all structural anchorage points, guy ropes, and securing straps, which represent the most obvious trip hazards. Following this site safety handover, it is the Hirer’s absolute responsibility to ensure the structure is used in a safe manner. GM Marquee Hire accepts no liability for personal injuries, slips, trips, or falls occurring on-site.

🔥 7. Climate Control Units (Indirect Diesel Heaters & Cooling Fans)

​

GM Marquee Hire offers optional rentals for heavy-duty commercial heating systems and cooling fans across Poole and Bournemouth.

​

• Electrical Lighting & Fan Units: Our team will position electrical elements in a safe location and demonstrate safe operation. Do not leave any electrical heating unit or cooling fan running while unattended. Always ensure fans are placed in a clear, wide-open internal space, completely away from PVC side walls, combustible materials, or direct human contact to prevent overheating.

• Commercial Indirect Diesel Marquee Heaters:

  • Fuel Levels & Operation: Indirect diesel heaters are delivered and installed with a full tank of diesel fuel, providing roughly 12 to 14 hours of continuous operation. If the fuel runs out during your hire, refuelling is the client's responsibility (a team member will demonstrate how to do this safely post-install) unless explicitly covered in your booking confirmation text.

  • Return Policy: Heaters must be returned with a full tank of diesel. If returned empty or partially empty, GM Marquee Hire will refuel the unit and bill the Hirer for the cost of the fuel used plus a £25 administrative refuelling fee.

  • Call-Out Services: If you require our team to come out to your site to refuel a heating unit mid-event, you will be billed for the fuel delivered plus a minimum £75 call-out fee (dependent on your exact location in Dorset).

  • Fault Diagnostics: If a heating unit stops working or experiences a fault, you must call us immediately. We will attempt basic phone diagnostics first. If the unit remains inoperable, we will dispatch a replacement unit as quickly as possible. The customer remains responsible for paying for all diesel consumed up to that point.

🚜 8. Heavy-Duty Track Mat Hire & Ground Protection Terms

​

• Operational Weight Limits: The Hirer assumes full legal and physical responsibility for any damage caused by track mats to third-party persons or property. GM Marquee Hire installs ground protection mats according to precise manufacturer guidelines. The Hirer must ensure that vehicular traffic does not exceed the maximum weight load of 70 tonnes per mat, and that interlocking matrix bindings are utilized wherever possible.

• Dry Hire Mat Collection: If utilizing our dry hire collection service from our Poole depot (where you transport or handle the mats yourself), the same terms apply, and the Hirer assumes total liability for any logistics-related property damage or personal injury involving the mats.

📝 Overall Conclusion & Contract Sign-Off

By signing below, you acknowledge that you have read this Dorset event equipment hire contract agreement in full and understand all terms, conditions, and operational safety limitations.

As a summary, you explicitly agree that GM Marquee Hire is not legally liable for any subsequent damage to property or injury to persons caused by the marquee installation or associated equipment hire. You agree that once our team leaves the site, you are 100% satisfied with the quality, safety, and positioning of the installation, have been shown all structural trip hazards, and understand how to operate all electrical/mechanical equipment safely. You also acknowledge that adverse weather disruptions do not constitute grounds for a refund, and that you have been explicitly advised to acquire independent event insurance to protect against weather cancellation.
